The request should contain the following information:
Description of the program
– The description should indicate what is expected from the speaker.
For example, one or more conferences of 30 minutes each addressed to
a general public followed by a question and answer session. The
description should also mention the type of activity, the title of
the event or program, names of other guest speakers, number of
conferences to be delivered by the speaker, format, duration of the
program, content, location, and preliminary itinerary.
Preferred date of visit
– Please include the arrival and departure dates. In the event that
the speaker is not available for the requested date, provide
alternate dates. The proposals should be sent to our office
within a minimum of eight (8) weeks before the desired program date.
Purpose of the program
–
Please include the objective of the program, other institutions that
are participating, their importance at the national or international
level, and the relevance of the topic to the Dominican Republic.
Audience
–
Please make clear the level of importance of the audience that will
be in contact with the speaker, what professional field does the
audience represent, and which sector it represents (public, private
or academic), and approximate number of attendees.
Type of speaker required
–
The speaker must be a citizen of the United States. If requesting a
specific speaker, you must indicate as much detail as possible
including the institution where the speaker works, position,
telephone number, e-mail, fax, etc. If you do not have a specific
name, then you must indicate with as much detail as possible the
type of speaker that you are requesting, for example, his or her
professional background, field of work, etc.
Language
– Must indicate if you prefer that the speaker be fluent in Spanish.
If not, you must provide translating services.
Funding
–
The Embassy does not guarantee that it will cover the all of the
costs related to the visit of the speaker. In case that the Embassy
is not able to cover these costs, the sponsor institution must
specify that it will cover totally or partially:
a)
Hotel and meal costs: This should be given in cash to the speaker at
the start of the program. Experience in the past has demonstrated
that accommodations in family homes or a fixed restaurant have been
negative for the visitor. We ask that you consult us on the estimate
of the per diem used by the Department of State for the city of
Santo Domingo.
b)
Transportation: The sponsor must offer local transportation,
including transportation from and to the airport and from the hotel
to the site of the program.
c)
International airfare: The sponsor is responsible for making
reservations, covering cost of the airfare, and delivering the
airline ticket to the visitor.
d)
Fees: This sum varies, but the fee can be approximately between $200
and $600 US dollars per day. This does not mean that the figure
will be in this variable; it may be more or less.
e)
Cost of the event: The sponsor must demonstrate that it will cover
all costs for organizing the event such as room and equipment
rental, design and reproduction of materials, meals, invitations,
etc.
